Patient Recruitment

Multi-channel outreach that finds the right patients for the right protocols, in the communities where they live. Study branding, prescreening and digital campaigns behind it, and people on the ground where the sites are.

Recruitment is where most trial timelines are lost.

The problem

  • Sites recruit between clinics

Screening sits with coordinators who already have a full day. Without dedicated recruitment capacity it becomes the task that slips, and it slips quietly.

  • Eligible patients never hear about it

The patients a protocol needs are usually out there. They are not reading trial registries, and a study that only exists inside the hospital never reaches them.

  • Interest dies before screening

Campaigns generate enquiries and then lose them. Between first contact and a screening visit sits a gap that nobody owns, and most of the drop-off happens in it.

Our approachto your study

  1. An older woman outdoors, smiling at the camera

    Pressure-test first

We look at the enrolment assumptions against the protocol, the countries and the sites before the plan hardens into a timeline. It is cheaper to find an unrealistic target here than in month nine.

  2. A young man in a checked shirt, smiling at the camera

    Give the study a face

Branding, patient-facing materials and a study website, written for the people who will read them rather than for the protocol, and produced in the languages the sites actually work in.

  3. A woman outside an office building, smiling at the camera

    Go where the patients are

Digital campaigns and community outreach aimed at the populations the protocol needs, in the areas your sites can reach.

  4. A man in a jacket outside an office building, smiling at the camera

    Carry the referral through

Prescreening and referral handling so an interested patient becomes a screening visit, and the site receives someone who has already been checked against the criteria.

FAQs

Questions sponsors ask about recruitment

Contact Us
Can you start once the study is already recruiting?

Yes, and often that is when we are called. Around half of our engagements begin mid-study as a rescue, where the protocol is fixed and the question is how to reach the patients it needs with the sites already open.

Do you replace the agency we already use?

Not necessarily. We can run the whole campaign, or take the parts a media agency does not cover: the patient-facing materials, the prescreening, the referral handling and the work on the ground with sites.

Which countries and languages can you recruit in?

We have supported trials in over 70 countries and speak more than 65 languages in house, so patient materials and site conversations happen in the local language, with local cultural context.

What happens to someone who is interested but not eligible?

They are told, by a person, and pointed somewhere useful. Our patient support centre is there for participants, their carers and their families from the first expression of interest through to the end of the study.

How do we see whether it is working?

Against your enrolment plan, not campaign vanity metrics. Referrals that reach a screening visit, randomisations per site per month, and where in the funnel patients are being lost while there is still time to act on it.

Clarity on your enrolment risk starts with one conversation.

Enrolment is just the beginning.
